Ask who the stay is really for

Identify the decision maker, every household in the party and the reason for traveling. Ask what went well or poorly on similar trips. The answers often reveal the criteria that should lead the shortlist.

Separate essentials from preferences

Record the dates, total budget, bedroom arrangement and non-negotiable access or service needs. Then list preferences that can change if another part of the experience improves. This distinction makes alternatives easier to explain when the first choice is unavailable.

Agree on what happens next

Tell the client which information you will confirm and when a decision will be needed. Explain that a preliminary selection is different from a secured booking. A clear next step keeps the proposal useful and helps the advisor avoid unnecessary rounds of research.
